Outdoor Club

                              Name:    ...............................................

Copy the folder called 0412Out from the CSSG / Exam folder to your own login. Unzip the folder. (The Access file available from the web has had the images removed to make it smaller.  It is on the CD in the 0412out folder in the examold folder.)  Rename the folder YourSurnameFirstnameOutdoor. All the files necessary for the exam will be in this folder. Save all your work in this folder. Only do what is required and nothing more. Save your work on a regular basis.  

An Outdoor Club has been established at Pinelands High School. The whole paper will focus on different aspects of the club. Most of the information is factually correct. 

Question 1 - Word processing - 39 marks

Open the Word file 0412Outdoor and save it in your folder as YourSurnameFirstnameWord. Complete the following tasks. (Refer to the pdf 0412OutdoorP file to see what is required and how the document should look. 

  1. Set the margins as 2 cm top, bottom, left and right. [1] 
  2. As a footer insert the document information fields of the author, file name and number of words with 'words' as indicated. [3] 
  3. As a footer insert a page number starting from the second page. [2] 
  4. Insert a header with the words 'Hiking and Mountain walking in the Cape Peninsula' starting from the second page. It needs to be bold, have shading and a border. [3] 
  5. Make all the text in the whole document Comic Sans. [3] 
  6. Behind the first, second and third paragraphs of the document add the jpg picture maptabledams as a watermark. Adjust the size of the picture so that it fits neatly behind the three paragraphs and does not go to the fourth paragraph. Do not colour it a 'watermark' as it becomes so light it cannot be seen. This picture should only be on the first page. [2]
  7. Insert the jpg picture caveinside in the text with the text wrapped around it on three sides at the beginning of the document. [2]
  8. Insert the jpg picture lionshead in line with the text centred at the end of the section Pinelands High School. [1] 
  9. Replace the boring bullets in the References section with a wingding symbol as illustrated. [1]
  10. Ramblers table
    1. Centre, bold and shade the column headings. [1] 
    2. Make the heading borders big and wide and visible! [1] 
    3. As the table goes over two pages repeat the column headings. [1] 
    4. In a row at the base of the table insert a formula to count the number of events. [1] 
  11. Meridian table
    1. Align the words in the first column vertically. [1] 
    2. Delete the silly empty row with nothing in it. [1] 
  12. Cobra Camp
    1. Shade the paragraph as shown in the Appendix. [1] 
    2. Border the paragraph as shown in the Appendix. [1] 
  13. Tartarus Cave
    1. Indent the second paragraph left and right by 2 cm as shown in the Appendix. [1] 
    2. Give the paragraph columns and a line as shown in the Appendix. [1] 
    3. Convert all the text in the whole of the article on the Tartarus Cave to small caps (Not shown in Appendix). [1] 
    4. Add a footnote to the word 'Kalk Bay' with the words ' Kalk means chalk in Afrikaans. Caves are often found in limestone or chalk areas.'  (Not shown in Appendix). [1] 
    5. A macro is a program created to save time. Record a macro called man_climbing. When run it must show a person climbing a mountain. The macro must be assigned only to your exam document. Save your work in 'an old way' so that the macro can be run. (An example shown in Appendix.  Make your own.) [5]  
  14. Create a title page in landscape with your name and grade aligned centre vertically on the page (Not shown in Appendix). [2] 
  15. Make the first letter in the first paragraph into a drop cap dropping over 2 lines (Not shown in Appendix). [1] 

Question 2 - Labels - 5 marks

Create a set of mailing labels for envelopes to be sent home to the Emergency names of the people who belong to the Outdoor Club. (See Appendix). The data file for the labels is Personal details, an Excel file. 

  1. The size of the labels must 70 mm wide by 37 mm deep and will be printed on sheets 3 across and 8 down with a margin of 0.3 cm top and no side margin, printed on A4 paper. [2] 
  2. Labels must only be sent to the Emergency names of those members who are younger than 21 years. [3] 
  3. Save the document as YourSurnameFirstnameLabels. 

Question 3 - Personalised notes - 5 marks

  1. Create a set of personalised notes to be sent to all members of the club. To save paper 4 sets of notes must be printed on each sheet of paper which is then cut up. (See Appendix). 
  2. Each note needs: 
    • The name of the person 
    • A note saying "In preparation for the Greyton 50 km Hiking Challenge in June please become fit for walking carrying a pack, read up on Fynbos and learn to read contour maps. Sincerely Committee for Greyton trip" 
  3. Create the main document for the form letters. Open a blank word document. Press enter 7, 8 or 9 times, then insert a Break / Section break type / Continuous. Do this three times. In total you now have space for four notes. Save the file as YourSurnameFirstnameNotes. 
  4. Get ready to do a mail merge. The main document to create the form letters will be the active window of YourSurnameFirstnameNotes. The data source is Personal details, an Excel file. 
  5. Insert the fields for First Name, space and then Surname. Then add the note. 
  6. At the beginning of the line break insert the Word Field of Next Record  (See Appendix
  7. Repeat the procedure three times so that the sheet has four sets of notes. 
  8. Merge. Save document as YourSurnameFirstnameNotesForAll. 

Question 4 - Access - 49 marks

  1. Rename the database 04outdoor YourSurnameFirstnameAccess.  
  2. Open YourSurnameFirstnameAccess and perform the following tasks.

Tables - 9 marks 

Personal details table 

  1. Change the format for Date in Date of birth to Short date. [1] 
  2. Change the properties of Date of birth to create a validation rule so that no one born after 1 January 1994 may join the club. Apply this rule to new data only. Add a suitable validation text message. [3] 
  3. Change the format of the Home Telephone number so that the numbers are grouped in 3s or 4s. [1] 
  4. Add a feature in the Gender field so that you do not have to repetitively type M or F and can just click.  [1]
  5. Make the Emergency phone a required field.  [1]

Walks table 

  1. In the field Picture for the record Kalk Bay caves insert and link the image caveskalk.jpg. [2] 

Queries based on Personal details table - 21 marks 

  1. List the members who live in Thornton. Save the query as a-Thornton. [1] 
  2. Create a query to delete Joe Blogs from the table. Run the query. Save the query as b-Blogs. [1] 
  3. Show those members whose Grading is 3 or higher. Save the query as c-Grading. [1] 
  4. Calculate the average Grading of all members. Save the query as d-Average Grading. [1] 
  5. Find the female members who live in Pinelands. Only show their First names, Surnames and Gender. Save the query as e-Pinelands Females. [2] 
  6. List all members who were born on or after 9 June 1987. Save the query as f-Born After. [2] 
  7. Calculate the number of members per suburb. Save the query as g-Number Suburbs. [2] 
  8. Find the number of males and females who have a Grading of 3 by doing a crosstab query.  (Hint - Row is Grade and Column is Gender.)  Save the query as h-Grading of 3.  [2]
  9. In the Personal details table insert a new field called Age after Date of birth. Decide on the field type. Create an update query to calculate the ages of all members.  Run the query. Save the query as i-Ages. [3] 
  10. Make a table called Full names of the members' First names joined to their Surnames with a space between, e.g. Jodi Hartogh.  Name the field Full names.  Save the query as j-Full Names Query.  [3]
  11. Create a query so that members can be found based on their Grading, ranging between two numbers.  The grading may be different every time you open the database.  Save the query as k-Different Gradings Every Time.  [3]

Reports based on various tables and queries - 8 marks 

  1. Create a report of the query a-Thornton. Save the report as a-Thornton. [1] 
  2. Create a report of all First names, Surnames and Suburbs grouped by Suburb. Save as b-Lifts. See picture in the Appendix. [2] 
  3. Create a report of First names, Surnames, Gender and Suburbs. Group it so that the learners are grouped by Gender and within gender into their suburbs. Save it as c-Gender within Suburbs. See picture in the Appendix. [2] 
  4. Create a report that will list all the members' names with First name joined to Surname in one field and Grading. Be sure there is a space between the First name and the Surname. Sort the records by Grading. Save the report as d-Names and Grading. See picture in the Appendix. [3] 

Forms - 6 marks 

  1. Create a form for the Personal details table. Group the details at the top of the form. See picture in the Appendix. (The looks are not important.) [2] 
  2. Create a form in columnar view for the Walks table with just the fields Info about the walk and Picture. Make sure that Record Selectors and Navigation Buttons are removed.  Make sure the pictures are viewed by zoom. See picture in the Appendix. (The looks are not important.) [2] 
  3. Create a form where a person can select a favourite walk of a member and an image and description of that walk will appear. See picture in the Appendix. (The looks are not important.) [2] 

Switchboard - 5 marks

  1. Add the name Pinelands High School Outdoor Club YourSurname to the application title and give it a new icon. [2] 
  2. Create a switchboard with a command button to open in Print preview the Personal details table. [2] 
  3. When the database is executed it must open with the switchboard. [1] 

Question 5 - Excel - 17 marks

Open Personal details, an Excel file.  

  1. In the column Comment add a comment using the data found in the worksheet Comment.  The comment must refer to the Walks Completed by the member.  [3]
  2. Sort the records by Walks Completed and then by Surname and then by First Name. [3]
  3. Create a pivot table to calculate the average age of the members who completed a certain number of walks.  (See Appendix.)   [3]
  4. Save the sheet with the pivot table as Average age. [1]
  5. Insert a new column after First Name and Surname called Full Name. In this column, using a function, add the first name to the surname with a space in between, for all members. [2]
  6. Hide the First Name and Surname columns. [1]
  7. Freeze the records so that the row headings remain in place when scrolling down. [1]
  8. Format all the columns point 14 wide.  [1]
  9. Format all the row headings so that all of the heading is visible, centred horizontally and vertically. (See Appendix.) [2]
